What these tools do

Dext (formerly Receipt Bank) and Hubdoc solve the same painful problem: getting receipts, bills and supplier invoices out of shoeboxes, glove boxes and inboxes and into your accounting system with the data already extracted. Staff photograph or email documents, the software reads the supplier, date, amount and GST, and the transaction lands in Xero, MYOB or QuickBooks ready to match against the bank feed — with the source document attached for substantiation.

The headline difference: bundled vs paid specialist

Hubdoc is owned by Xero and is bundled with Xero subscriptions — check Xero's current plan inclusions to confirm what applies to yours. Dext is a standalone paid subscription. That framing matters: the question is rarely "which is better in the abstract" but "is Dext worth paying for when Hubdoc is effectively already in my Xero plan?"

Where Hubdoc is enough

  • Low document volume. A modest monthly flow of bills and receipts, mostly from repeat suppliers, is well within Hubdoc's comfort zone.
  • Simple coding. If most documents map to one supplier, one account code and standard GST treatment, Hubdoc's automation covers it.
  • Fetch from suppliers. Hubdoc can automatically fetch statements and bills from a range of banks, telcos and utilities, which quietly removes a chunk of chasing.
  • Cost discipline. If it is included in your plan, every dollar not spent on another subscription is margin.

Where Dext earns its subscription

  • Extraction accuracy and speed. Dext's data extraction is generally regarded as more accurate, particularly on messy receipts, and it handles higher volumes with less manual correction.
  • Line-item detail. Dext can extract line-level data, which matters if you split invoices across cost centres, jobs or account codes.
  • Supplier rules. Granular per-supplier automation — coding, tax treatment, payment method, auto-publish — reduces bookkeeping touches dramatically at volume.
  • Expense workflows. Employee expense claims, approvals and reports are stronger in Dext, useful once several staff spend on the business's behalf.
  • Multi-entity practices. Bookkeepers managing many clients tend to prefer Dext's workspace and workflow tools.

A simple decision rule

Count your monthly documents and the minutes each one costs to correct or code manually. If Hubdoc's accuracy means you are only touching a handful of documents a month, stay with the bundled option. If your bookkeeper is correcting extractions daily, splitting invoices by hand or chasing staff receipts, Dext's subscription typically pays for itself in saved bookkeeping time — get current pricing from Dext and do the arithmetic against your bookkeeper's hourly cost.

Whichever you pick, fix the process too

Capture tools only work if documents actually reach them. The businesses that get the full benefit set two habits: every card holder photographs receipts the day they spend, and every supplier is asked to email bills straight to the capture address. Pair that with weekly (not quarterly) bank reconciliation and your BAS preparation stops being an archaeology exercise.
